Pop-up Exhibition Policies

General

  • The rental includes the gallery room (800 sqft), hallway, and bathroom

  • The bar and upstairs office are strictly off limits to attendees.

  • Any children must be supervised by a parent or a responsible adult at all times.

  • Smoking or vaping is prohibited inside the space or within 25 ft of the doors.

  • Confetti, glitter and body paint are strictly prohibited.


Cleaning

Cleaning fees are wrapped into the rental price. Please leave the space in the same condition you received it in. Take out trash to back bins, remove all items, and clean any noticeable messes. Please do not pour food or drinks down our sinks.


Schedule

Pop-up exhibition rentals follow a three-day schedule. Please plan accordingly.

  • Day 1: Up to six (6) hours for artwork installation during agreed upon time.

  • Day 2: Three (3) hour reception during time of choice. Includes one (1) hour for set up and one (1) hour for break down and clean up. Break down and clean up must be completed by 12am, no exceptions. Additional reception hours will be billed at $80/hour.

  • Day 3: Up to four (4) hours for artwork de-installation during agreed upon time.


Private vs. Public Receptions

  • Private Receptions – Intended for an invited guest list only. These types of receptions are not promoted or advertised to the public.

  • Public Receptions – Open to the general public to attend. These types of receptions are free for the community to enjoy and may be promoted or advertised to the public.

  • Cover Charges – A cover charge for public receptions may be permitted with prior approval:

    • Ticket sales must be managed through Eventbrite and the event page must be approved by our executive staff before being published or advertised. You are responsible for providing front-of-house staff to check attendees in during the reception.

    • If you would like Stay Gallery to manage Eventbrite and front-of-house staff, net tickets sales will be split 50/50 (50% to you, 50% to Stay Gallery). Stay Gallery is not obligated to promote or advertise the Eventbrite information.


Marketing

All public marketing materials that you create for your exhibition must be approved by our executive staff before being published or advertised. Use of the Stay Gallery and/or Stay Arts logo is strictly prohibited, unless prior consent is given. Stay Gallery is not obligated to provide printing, advertisement or promotion of the exhibition.


Artwork Display

  • Content – Artwork must follow our content guidelines, unless prior approval is discussed.

  • Artwork Information – All information for displayed artwork (title, year created, media, size and price) must be provided to Stay Gallery at least two (2) weeks prior to the reception date for artwork label design and printing.

  • Materials & Installation – You are responsible for providing materials and hardware for artwork display. Nailing or drilling into the gallery walls is strictly prohibited unless administered by Stay Gallery staff.

  • Paper Works – We highly encourage works on paper to be framed or matted for display. If you prefer for your piece to be displayed without framing or matting, we recommend artist mounting tape or heavy duty magnets.

  • Matted, Framed or Canvas Works – For lightweight works (under 5 lbs), please provide 3M Command Strips for installation. We typically estimate 2 – 4 strips per piece. For heavy works (over 5 lbs), D-rings and wire must be properly installed before installation date. No cleats or sawtooth frames unless prior approval is given. Any special hardware for hanging / installation is your responsibility and must have prior approval from Stay Gallery.

  • Sculptures or 3D Works – Sculptures and 3D works must fit through the gallery door (31.5” x 84”). We have one pedestal (14” x 14” surface) available for use at the gallery. You are responsible for additional pedestals or shelving.


Artwork Sales

At Stay Gallery, it is our utmost priority that both artists and art buyers are provided a seamless, unhindered experience during artwork sales. All artwork sales will be managed through Stay Gallery’s POS system, and the Stay team will arrange artwork packaging and pick up with the buyer. Stay Gallery will retain a 30% commission for sales made. Seventy percent (70%) of sales will be paid to the artist within one week after the reception.


Security & Staff

Security cameras are installed throughout the gallery and overseeing our back outdoor space. Stay Gallery staff will be present for install / de-install and during the reception for general oversight and artwork sales. We reserve the right to refuse service and/or remove any attendant that is engaging in disorderly conduct or causing harm to other attendees, Stay staff, artwork and/or the space.


Live Music & Performances

Live music and performances are permitted during the reception with prior approval. We do not provide sound equipment, lighting or staging for performances. Please be mindful of our capacity limit.


Food & Beverages

  • Indoor Food – You are welcome to bring your own pre-made food and non-alcoholic beverages for attendees to enjoy indoors. If food and beverages are to be sold, you must provide your own POS / cash management system and staff. Food preparation and/or cooking is prohibited inside.

  • Food Vendors – Outside food vendors are permitted and must be contained in our back patio space. A fee of $100 (per canopy) will be added to the rental for our 10” x 15” canopies. Food vendors must have their own insurance. All food preparation and cooking must be done outside.


Alcohol

  • In-House Bar – We are happy to provide our in-house bar for your event. We offer a selection of beer, wine, seltzers and non-alcoholic beverages for attendees to purchase. Available for public and private events for no fee.

  • Open Bar – Open bar for beer, wine and/or liquor is permitted under the following circumstances:

  • For private or ticketed events only.

  • Event insurance is required.

  • You are responsible for providing alcohol.

  • Selling of alcohol is strictly prohibited.

  • No attendees from the event are allowed behind the bar or to serve their own drinks.

  • Alcohol must be served by a designated staff person who has experience serving alcohol, a professional 3rd party company, or by Stay Gallery staff for an additional service fee of $100.


Insurance

We strongly advise you to acquire event insurance for the duration of your rental. Any claims, loss, damage, injury and/or death during the reception or install / de-install will be your responsibility. You can find low-cost, three-day event insurance on theeventhelper.com.


Deposit & Cancellations

Non-refundable deposit (50% of payment) is due upon booking. Balance is due 24 hours to the artwork installation date. Cancellations must be made at least two business days prior to the artwork installation date. If cancellation is made within two business days, full payment is non-refundable.
